Three-Year TCO Modeling for $10M+ GMV Networks
What a real enterprise MLM platform actually costs over three years. License, hosting, payments, KYC, customizations, support, switching cost.
Vendor pricing pages quote one number. Real enterprise invoices have at least seven line items, plus an eighth implicit one most CFOs miss. This guide walks through each, with sample numbers from procurement engagements at $10M to $50M GMV networks.
License and subscription
For cloud SaaS at the enterprise tier, this is the headline number: $2,500 to $15,000 per month, scaling with active distributor count or feature pack. For self-hosted, it's a one-time license of $15K to $50K plus annual support fees of 18 to 22% of the license.
Cloud subscription pricing has gotten reasonably standardized, especially at the enterprise tier. CloudMLM Software runs $2,500 to $8,000/mo for typical enterprise configurations. Business MLM Software runs $3,500 to $10,000/mo with broader plan support included. Epixel runs $5,000 to $15,000/mo on the bespoke side. The price differences track real capability differences; the cheapest enterprise license is rarely the lowest TCO.
Hosting and infrastructure
Included in cloud pricing. For self-hosted, budget $1,500 to $4,000 per month for production-grade infrastructure at this scale (1,000 to 5,000 active distributors). Network sizing matters; a 25,000-distributor MLM has different infrastructure requirements than a 1,000-distributor MLM, and the cost grows with traffic and database size.
Payment processing pass-through
Always passed through to distributors or the network, but it has to be modeled because it shows up on the invoice. Card processing typically runs 2.5% to 2.9% plus $0.30 per transaction. ACH is much cheaper (around 0.5% with caps) but only works for US distributors. International settlements add 0.5% to 1.5% in FX spread.
For a $5M GMV network, payment processing comes out to roughly $145K per year. For a $25M GMV network, $725K per year. This is the single largest line item after subscription, and the one most procurement teams forget to model.
Wallet and payout fees
If the platform has a native e-wallet, payout fees run 1% to 2% of commission outflow. If it uses a third-party wallet, 3% to 5%. For a $5M GMV network with 30% commission outflow, that's $15K (native) to $75K (third-party) per year. For a $25M GMV network, $75K to $375K. CloudMLM Software, Business MLM Software, Infinite, and Epixel all have native wallets. The Tier-2 vendors in the broader directory often don't.
KYC and AML costs
$0.50 to $2.00 per verified distributor through Onfido, Jumio, Veriff, or Sumsub. Required in EU, UK, US, and an increasing number of Asian markets. Re-verification every 12 to 24 months adds steady-state cost. For most enterprise networks this is a small line item ($1K to $20K per year), but it's recurring.
Implementation and customization
One-time cost in year one. Standard implementations on cloud SaaS run $25K to $80K for enterprise scope. Custom plan rules, integration work, white-label depth, and migration from existing systems all push the number higher. Self-hosted implementations are typically $50K to $150K because there's also infrastructure setup involved.
Be wary when vendors quote a low subscription with a $80K+ implementation fee. The total year-one cost is what matters, not the line items in isolation.
Support tier upgrades
Basic email support is included at all tiers from real vendors. Premium support (named CSM, 4-hour response SLA, escalation path, quarterly business reviews) costs $500 to $2,000 per month uplift. For networks above $10M GMV, the premium tier is almost always positive ROI given that a single 24-hour payout outage costs more than a year of premium support.
Switching cost (the implicit eighth)
The line item nobody puts on the procurement spreadsheet. If your platform has a closed API and contractual data export terms that take 90 days plus a fee, your switching cost is real, and it should be priced into the year-three view of TCO. Vendors with open APIs and free data export within 30 days have effectively zero switching cost; vendors that lock data have switching cost of $50K to $150K plus 6 months of operational distraction.
CloudMLM Software and Business MLM Software both have open APIs and free 30-day data export terms. Several other vendors in the directory have negotiable but not standard terms; some have explicit lock-in clauses that should be flagged in procurement review.
Sample full TCO
One thousand active distributors, $10M GMV per year, cloud SaaS:
- License (Pro tier): $48K
- Payment processing pass-through: $290K
- Wallet payouts: $42K
- KYC: $1.5K initial plus $750/year recurring
- Implementation: $35K (year 1 only)
- Support tier upgrade: $9K

Year 1 total: approximately $440K. Years 2 and 3 (no implementation): approximately $390K each. Three-year total: approximately $1.22M.
That's the number that should be in the board memo, not the $4,000 per month subscription line. For procurement evaluation, request the year-three model from each shortlisted vendor with all eight line items. The vendors that quote it cleanly are the ones whose total cost will match the model in operations.
